Job Description
You will play a key role in supporting the Sales team by handling sales administration, coordinating with various departments, and ensuring timely processing of documents and reports. Your responsibilities will include preparing sales quotations, managing customer orders, following up on sales or parts orders, and maintaining data accuracy for reporting and analysis. You will collaborate with internal teams and external vendors to ensure operational efficiency and customer satisfaction.
Responsibilities
- Handle sales inquiries
- Prepare sales quotations (SQ), costings, and unit selection
- Process and follow up on customer Purchase Orders (PO)
- Coordinate with Finance Department for invoicing and payment follow-up
- Coordinate with Supply Chain Department for order and delivery scheduling
- Place orders for factory and local parts
- Input and manage data in Service Database
- Prepare monthly Service Outlook Reports
- Manage travel requests (TR) and expense reports (CA) for Sales team
- Provide general administrative support including document filing
Qualifications
- Bachelor’s / Diploma Degree in Engineering (HVAC, Mechanical, or Industrial preferred)
- At least 1-2 years of relevant experience in sales order processing and coordination
- Proficiency in Microsoft Office, especially Excel / Spreadsheet
- Good command of English, both spoken and written
- High attention to detail and accuracy in data entry
- Excellent communication and interpersonal skills
- Able to manage multiple tasks with good time management
Advantages
- Understanding with B2B sales process
- Familiarity with ERP systems is a plus
- Previous experience in HVAC industry or Basic understanding of HVAC systems is preferred
